Information on delivery times, shipping costs, and logistics for wholesale and dropship orders

Shipping is quoted per warehouse, because each warehouse ships separately. A basket drawing on two warehouses is charged as two shipments.
Each shipment is a base fee covering the first item, plus a smaller fee for each additional item, plus a per-item category fee (€4 for bags and shoes; €2 for clothing, coats, accessories and jewellery).
Inside the EU both Economy and Express are available. Outside the EU we ship Express only.
Rates depend on destination and basket size, and are shown at checkout before payment.

Wholesale orders are settled by bank transfer. Once you place the order we send you our IBAN and a payment reference; the goods are despatched as soon as the funds arrive. There is no card option on wholesale orders and no fee of any kind on this route.
Dropship orders can be paid either way. Bank transfer is always free. If you pay by card — or by PayPal or any of the other methods our payment provider offers — a payment fee is added: 1.5% of the order total if your billing address is in the European Economic Area, and 3% otherwise. The exact amount is shown on the payment step before you submit the order, and again as its own line on your invoice.
We pass this on because our payment provider charges us for accepting a card, and the charge is higher for cards issued outside Europe. We never add a mark-up to it, and the fee never exceeds what we are actually charged. Bank transfer costs us nothing, which is why it costs you nothing.
All orders are invoiced and settled in EUR. Where prices are shown in another currency, that is an indicative conversion for guidance only — the EUR amount at checkout is what you owe. Any conversion cost is a matter between you and your own bank or card issuer. See our Terms & Conditions § 4.
All shipments originate from EU warehouses. For deliveries within the EU, no customs duties apply. For deliveries outside the EU — including Japan, Switzerland, the United Kingdom, the United States and all other third countries — the shipment is an export and import duties, taxes and clearance fees are payable in the destination country by the Retailer or by the consignee named by the Retailer. VAITTO does not offer delivered-duty-paid (DDP) shipping and does not prepay import charges.
Wholesale orders are shipped FCA at the dispatching warehouse (Incoterms® 2020). Orders shipped to an address other than the Retailer's own are shipped DAP, duty unpaid (Incoterms® 2020): the consignee is the importer of record and will normally be asked to pay import duty and consumption tax by the carrier before the parcel is released.
Preferential tariff treatment. Where goods qualify as EU-originating under the EU–Japan Economic Partnership Agreement, a statement on origin may be available on request before despatch, which can reduce the applicable duty rate. Please request this at the time of ordering — it cannot be issued after the goods have shipped. See our Terms & Conditions § 10.
A tracking number is provided for all shipments via email or in-platform notification once the order has been dispatched. Tracking is available through the carrier's website.
For dropship orders, tracking information is available in your VAITTO account under Orders, and can optionally be forwarded to your end customer.
Estimated delivery times are indicative. VAITTO is not liable for delays caused by the carrier, customs processing, force majeure, or circumstances outside our reasonable control. If a shipment is significantly delayed, please contact us at contact@vaitto.com.
If a shipment arrives damaged, please photograph the damage immediately and contact us within 48 hours of delivery at returns@vaitto.com with your order number and photos. We will file a claim with the carrier and arrange a replacement or credit.
For lost shipments, please allow the full estimated delivery window to pass before reporting. We will investigate with the carrier and resolve within 10 business days.
All consignments are insured against loss only. Insurance does not extend to damage in transit, delay, or circumstances outside our reasonable control. Claims for non-delivery must be submitted no later than 14 days from the date of despatch.
Charges that arise after a parcel has shipped — import duties invoiced back to us, unclaimed or refused parcels, return carriage, customs clearance fees — are recorded against your account and shown in your dashboard. New orders cannot be placed while a charge is outstanding.
Wholesale orders. We do not accept discretionary returns on wholesale orders — no change-of-mind returns, no returns for over-ordering. Goods that arrive defective, damaged in transit, or not as ordered are of course covered: report them in writing within 7 business days of receipt and we will replace, credit or refund following inspection.
Dropship orders. Returns are accepted within 14 days of delivery to the recipient. Request authorisation first and we will issue an RMA number; the goods must then reach us within a further 14 days. Items must be unused and in original condition with all tags, boxes, dust bags and packaging intact.
Return carriage is at the Retailer's cost, sent tracked, except where the return is due to an error on our part — incorrectly shipped item, goods damaged in transit, or goods materially not as described — in which case we bear the cost and issue a prepaid label.
The card payment fee and refunds. If you return goods by choice, the refund covers the goods and, where applicable, the shipping charge, but not the card payment fee — our payment provider keeps its fee even when a payment is refunded, so we cannot return it. Where the return is down to an error on our part, we refund everything you paid, the payment fee included. We never charge anything extra for issuing a refund. Orders paid by bank transfer carry no fee in the first place, so nothing here applies to them.
Returns sent from outside the EU must be authorised in advance, must quote the RMA number, and must be declared as returned goods under Returned Goods Relief with a copy of the original invoice attached to the outside of the parcel. Parcels declared as a new commercial import will attract EU import duty and VAT, which will be deducted from the credit.
